WhatsApp API for businesses: how it differs from WhatsApp Business, and when you need it
When messages outgrow one person answering them, or you need automatic order confirmations and appointment reminders, the WhatsApp API starts to pay off. A plain explanation of cost and rules.

Most businesses in Egypt start with the WhatsApp Business app on a phone: a catalogue, quick replies and a welcome message. That is great at first. As orders grow, the app’s limits show: replies are manual, conversations are scattered and nothing connects to the website or your system.
The difference in short
- The WhatsApp Business app: free, with manual replies from the phone or linked devices. Right for a shop or small business.
- The WhatsApp Business Platform (API): connects to your website or system, sends automatic messages, and lets several staff answer from one screen.
When you actually need the API
- You want order or shipping confirmations sent automatically the moment a customer orders on your website.
- Appointment or payment reminders without anyone typing them.
- Several staff answering the same number at the same time.
- A bot that answers repeated questions and hands over to a person when needed.
- Conversations linked to a CRM so you can see each customer’s history.
Cost: understand it before you start
Since July 2025, Meta charges per message for the templates a business uses to start a conversation, and the price depends on the template type — marketing, utility or authentication — and the customer’s country. Replying within 24 hours of a customer’s last message is free, and utility templates such as order confirmations are free too when sent inside that same 24-hour window.
Prices change, so check Meta’s official pricing page for your customers’ country before setting a budget. If you work through a provider, ask about their own fees as well.
Rules worth knowing
- Consent: a customer must have agreed to receive messages from you before you start a conversation with them.
- Templates are reviewed and approved by Meta before you can use them.
- Choose the number carefully: a new number or your existing one may work depending on how it is connected, so ask before you start.
- There is a daily limit on conversations a business starts; it begins small and grows with message quality and business verification.
- Spammy messages lower the number’s quality rating and can get it restricted.
Starting without getting lost
- Pick two or three messages to begin with: order confirmation, appointment reminder and an out-of-hours reply.
- Verify your business on Meta Business with the correct company details.
- Connect the API to the website or system that holds the orders, not to manual entry.
- Always leave customers a way to reach a real person.
Quick questions
Does the API give me the verified badge automatically?
No. The badge has separate requirements, and using the API does not mean you will get it.
Can I send marketing messages to every number I have?
No. The customer must have opted in, or your number can be restricted. Start with customers who already deal with you.
Do I need a developer to use it?
Connecting it to your website or system is a one-off technical job; after that your team uses it from a simple screen.
