Ready-made software: when it is the right call

  • Your work follows a common, repeatable pattern in your field, such as simple bookkeeping or a standard till.
  • You need to start this week and cannot wait for a build.
  • You have few users and the monthly subscription fits your budget.
  • You do not need it to connect to many other systems.

A custom system: when it pays off

  • Your process is different, and you keep patching the software with spreadsheets and paper.
  • You have branches or many roles with precise permissions.
  • You need the website, stock, WhatsApp and accounts to work as one flow.
  • Per-user subscriptions have become a large monthly bill.
  • The way you work is itself part of your edge over competitors.

Count the real cost over three years

Do not compare a monthly subscription with a build price and stop there. Put both in one table:

  • Ready-made: subscription × users × 36 months, paid add-ons, and the hours lost to manual workarounds.
  • Custom: the build, hosting, and yearly maintenance and improvements.
  • Both: data migration and training, and the cost of switching if you move on after two years.

Many companies discover the biggest cost is not the price at all — it is the hours their team spends doing what the software cannot.

Questions before subscribing to ready-made software

  • Can I export all of my data easily if I decide to leave?
  • How does the price rise as users or branches grow?
  • Does it support Arabic and Egyptian e-invoicing if I need it?
  • Where is the data stored, and who can access it?

And questions before building a custom system

  • Who owns the source code and accounts after handover?
  • Do we start with the most important process, or everything at once?
  • Who fixes and improves it after launch, and roughly at what cost?
  • Is there a prototype I can see before paying the larger share?

The middle path many people miss

You do not have to pick only one. You might keep ready-made accounting software, build a small custom system for the part that makes your business different, and connect the two. You get the speed of ready-made and the flexibility of custom at the same time.
