Most clinics start with an appointment book and phone calls. As patients grow or a second branch opens, the problems show: overlapping appointments, patients forgetting their slot and files that go missing mid-consultation. A clinic management system solves this — if you choose it well.

The basics every clinic needs

  • A schedule for each doctor that prevents double booking.
  • Online booking from the website or a link shared on WhatsApp and Instagram.
  • Reminders before the appointment, with a way to confirm or cancel.
  • A file for each patient: visits, diagnosis, treatment and attachments such as scans and lab results.
  • Invoices, payments and a daily cash close.

Features that matter as the clinic grows

  • Several doctors and branches in one system.
  • Multi-session treatment plans, as in dentistry and physiotherapy, tracking what is done and what remains.
  • Stock of consumables with alerts before they run out.
  • Reports: new patients, no-show rate, most-requested services and each doctor’s revenue.
  • Permissions: reception sees appointments and invoices, doctors see the medical record.

Patient data is a legal responsibility

Egypt’s Personal Data Protection Law No. 151 of 2020 treats health data as sensitive data with stronger protection, and its executive regulations were issued in November 2025. Before choosing any system, ask:

  • Who can open the medical record, and is there a log of who opened what and when?
  • Where is the data stored, and is it encrypted?
  • How often are backups taken, and has anyone actually restored from one?
  • How is patient consent recorded, and what is the plan if data leaks?

Ready-made or custom?

Ready-made clinic software suits a single clinic with standard services. With several branches, special treatment plans, or booking that must connect to the website, WhatsApp and accounts in one flow, a custom system is usually cheaper and easier over the long run.

Starting the right way

  • Begin with appointments and reminders; that is where you feel the difference fastest.
  • Move existing patient records in stages, starting with active patients.
  • Train reception first, because they will use the system most.
  • Set a one-month trial and measure: fewer no-shows? less time on the phone?

Do patients need an app to book?

No. Booking happens on a mobile page, and reminders arrive as a message.

Does the system work if the internet drops?

That depends on the system. Ask early, and keep a printed copy of the day’s appointments as a fallback.
